Audio Conferencing

The N.C. Department of Information Technology’s audio conferencing is a pass-through service available via contracts with AT&T. The governing contracts for these services are negotiated to provide rates and terms favorable to the state.

As a subscriber, you interact directly with AT&T Communications for the provisioning and support of the audio-conferencing service and to ensure the accuracy of user account data.

Two services are available:

  • Toll-Free User Managed Audio Conferencing includes toll-free, full-featured, user-managed secure conferencing that is available on-demand.
  • Local Meet Me Conferencing includes non-secure, basic, low-cost conferencing that requires a reservation.

Toll-Free User Managed Audio Conferencing
  • Available through AT&T network services
  • Provides on-demand audio conferencing service using toll-free (8XX) access for all participants
  • 24/7 availability of conference bridges
  • Supports up to 125 participants per call arrangement
  • Secure conference calls using a conference passcode on a per-call basis
  • No reservations required once a toll-free arrangement is established
  • Conference bridge port charge paid by the audio conference subscriber (host)
  • Bridge port charge per minute is the same as the toll-free service charge
  • Subscriber pays a per-minute usage rate for each conferee
  • Initiator (host) pays for all long-distance charges associated with the call for all conferees (per-minute per conferee)
  • Conference call host-management features include lecture mode/Q&A, roll call and security code for the conference assigned by the host and used on a per-call basis
Local Meet Me Conferencing
  • A shared conference arrangement that is not secure
  • Conference line options allow up to 30 or 150 participants
  • Available in several AT&T metropolitan service areas

Request Process

Service Request Process
Toll-Free User Managed Audio Conferencing
  • To request this service, complete the TO-5 Telephone Order Request Form and submit it using the NCDIT Service Portal
  • The request fulfillment group then processes the request and provides you with confirmation and conference bridge access information via email.
  • The service provider also mails complete dialing instructions within two weeks of order fulfillment.
Local Meet Me Conferencing
  • Reservations are made on a first-come, first-serve basis.
  • Requests must be submitted by email to its.call.reservation@its.nc.gov at least 24 hours before the conference call is required.
  • Information to be submitted includes:
    • The conference leader's name and telephone number
    • The requester's name and telephone number
    • The contact person's email address
    • Date, beginning and ending time of call
    • Valid 10-digit state government telephone number to which charges will be billed
  • Obtain a printable copy of the Local Meet-Me Conference Call Request Form that can be used for submitting requests.
  • Customers should not attempt to reuse a Meet-Me Conference number without verifying that it is available with the state telephone operators. 

Authorization

Service requests that incur a cost to the agency will typically require approval from the requesting agency’s CIO, financial officer or manager, depending upon your agency's requirements.

Acknowledgment Time The service team should acknowledge a service request within 3 business days
Turnaround Time Toll-Free User-Managed Audio Conferencing is available approximately 5 to 10 business days after NCDIT submits your information to AT&T Communications.

Service Availability
  • Toll-Free User Managed Audio Conferencing is available 24/7 after the initial setup.
  • Local Meet Me Conferencing is available 24/7 once the reservation has been established. Reservations are available 8 a.m. to 5 p.m., Monday through Friday, except for holidays.

Service Communications
  • Changes or outages that might have an impact on customers are communicated through the NCDIT Communications Hub and Agency Change Advisory Board. 
  • The agency's admin for this service will support communications to the agency users of the service..
Service Level Agreements

Because audio conferencing is a pass-through service whereby NCDIT customers interact directly with AT&T Communications for provisioning and support of the service, NCDIT cannot commit to service level agreements, such as provisioning and resolution times.

  • Approved rates for this service are published in the NCDIT Rate Schedule.
  • Additional costs could include the initiator (host) paying long-distance charges associated with the call for all conferees (per-minute, per conferee)
